Occupational health and wellness

Reduce case admin and report delays without crossing the employer and clinician line

We help occupational health providers speed up referrals, scheduling and draft reports, with clinician sign-off and clear separation between employer reporting and employee health data.

Short answer

How can AI help an occupational health or employee wellness provider?

AI can take on admin around the clinician: reading referral forms, scheduling, tracking stalled cases, drafting reports for sign-off and preparing aggregate employer reports. The clinician owns every opinion and decides what the employer sees. Worker health data is sensitive in both the US and UK, so data separation and role-based access are designed first.

Who this covers

Organizations in this segment

  • In-house and outsourced occupational health services working for employers
  • Employee wellness and health screening companies
  • Workplace health monitoring and surveillance providers
  • Absence and case management services
  • Onsite clinic operators and employee assistance program vendors
Challenges

The business problems that hold this segment back

01

The employer pays, the worker owns the data

Employers buy fitness-for-work answers, but the clinician owes confidentiality for the health information. The ICO says employers need a lawful basis and a special-category condition to process worker health data, and that necessity and proportionality apply, so any AI tool that blurs the line between wellness and productivity data is a liability.

02

Case administration eats clinical time

Management referrals arrive incomplete, appointments need matching to the right clinician and site, and reports wait for outside information. Workflow automation helps most with the chasing and tracking, not the clinical judgment.

03

Reports and letters create a backlog

The Society of Occupational Medicine's January 2026 guidance lists transcription, documentation, referrals, management plans, coding and decision support as areas for AI. It describes possible applications, not prevalence or proven benefit, and the clearest evidence for ambient documentation so far comes from clinics and hospitals.

04

Employer sales cycles involve many buyers

HR, procurement, finance and sometimes IT security all weigh in on a contract. Employers also want absence and program insight without any way to identify individuals.

05

Wellness data rules depend on program design

In the US, HHS says HIPAA protection depends on program structure. In the UK, health monitoring needs a lawful basis and a special-category condition. Participation falls if employees doubt where their data goes.

Where AI fits

Suitable AI, and how mature each application is

Established means widely deployed and well documented. Emerging means real deployments exist but results vary with your data and workflow. Early means pilots or research, not a safe default.

Established

Draft consultation notes and reports for sign-off

Transcription and drafting turn the consultation into a first-draft report that the clinician edits and signs. Ambient drafting is established in general clinical care, but one prospective study found omissions in 18% of 356 AI-drafted notes (one tool, one sample), so measure edit rates in your own service.

Established

Referral intake and scheduling

Referral forms are read, missing fields flagged, appointment types suggested and slots offered, with unclear cases sent to a case manager. This is bounded document and calendar work, supported by data integrations with your clinical system.

Emerging

Case tracker summaries and stalled-case alerts

AI summarizes case history for the case manager and flags cases waiting on an appointment, report or outside information. Summaries are visible only to authorized roles and link to the source record.

Emerging

Tender and renewal response drafting

Answers to employer questionnaires are drafted from an approved library of service descriptions and policies, then edited by the account lead. A wrong claim in a tender is still your claim.

Emerging

Aggregate employer reporting

Absence themes and program usage are summarized across groups too large to identify individuals, with narrative drafted by AI and reviewed by the account manager. We found no independent evidence on how well this works yet.

Early

Decision support for management plans

Suggestions for adjustments or next steps would be offered to the clinician. The SOM calls for bias testing, incident reporting and ongoing validation, and a function that supports diagnosis or treatment may become a regulated medical device.

What stays human

Responsibilities that stay with your people

Occupational physician or nurse

Owns clinical judgment, signs every report and fitness-for-work opinion, and decides what is disclosed to the employer.

Case manager

Checks referral completeness and consent, resolves exceptions and keeps cases moving.

Privacy lead or data protection officer

Owns lawful basis, impact assessment and the split between employer-facing and clinical data, under a documented AI governance program.

Account manager

Explains to employers why some information cannot be shared, and reviews aggregate reports before they leave.

Wellness program lead

Decides what a program collects and how data use is explained to employees.

Improvements

Operational changes you can expect to work on

01

Shorter referral-to-report turnaround

Measure days from referral received to report issued, split by report type.

02

Fewer missed appointments and quicker first slots

Track missed-appointment rate and days to first appointment as reminders and rebooking improve.

03

Less admin per case

Measure case-manager touches per case and the number of cases stalled beyond a set age.

04

Faster, steadier employer pipeline

Track lead response time, tender turnaround and renewal rate by client.

Commercial value

Winning employers and keeping them

Employers buy on turnaround, reliability and trusted advice, and a privacy failure can end a contract. AI that cuts admin per case supports capacity and consistency, andGo-to-market planning helps you explain that to each buyer inside one employer.

  • Win tenders by stating turnaround, review steps and data separation plainly.
  • Answer employer inquiries fast and measure win rate by source.
  • Retain accounts with regular aggregate reports and review meetings that expose no individual.
  • Expand from one service to screening, surveillance or wellbeing once the first performs.
Rules and limits

US and UK rules that apply, and what is not ready yet

General information for planning, not legal advice. Statuses and dates are as published at the time of writing.

United States

  • HHS says HIPAA protection in workplace wellness depends on program structure: information in a group health plan wellness program may be PHI, while information an employer collects directly outside the plan is not thereby HIPAA-protected, though other laws can apply.
  • HIPAA Privacy and Security Rules apply now, with no separate general HIPAA AI rule in the OCR materials we cite, and a vendor processing PHI as a business associate needs an agreement. The January 2025 Security Rule proposal is not final.
  • Some wellness apps sit outside HIPAA but can fall under the FTC Health Breach Notification Rule. The FTC withdrew a 2021 policy statement on 9 September 2026, not the amended rule that took effect on 29 July 2024.
  • FDA clinical decision support guidance (final 6 January 2026, reissued 29 January 2026) sets out how FDA assesses each software function, and patient-facing functions can still be devices.

United Kingdom

  • The ICO says worker-health monitoring needs a lawful basis and a special-category condition, with necessity, proportionality and an appropriate data protection impact assessment.
  • UK GDPR was amended by the Data (Use and Access) Act 2025, not replaced, and the Act is not an unrestricted route for solely automated decisions on special-category health data. The ICO's updated automated decision-making guidance is still draft.
  • MHRA and NHS England clarified on 29 July 2026 that transcription, summaries or code suggestions for clinician review alone may fall outside medical-device regulation, while tools for diagnosis, treatment or automated clinical action fall inside.
  • The SOM's January 2026 guidance is professional guidance for UK occupational health, not law.
Not mature or not suitable yet
  • AI deciding fitness for work or absence outcomes. An error can affect a worker's care or employment, so the clinician decides.
  • Decision support that suggests diagnoses or treatment. It may be a regulated medical device, and each function needs testing before use.
  • Individual-level wellness analytics shared with employers. This is hard to square with ICO expectations on lawful basis, necessity and proportionality for worker health data.
Where to start

Where we would begin

  1. 01

Map the data and set the employer boundary

Draw every flow of employee health information, decide what employers may receive, and record what never enters an AI tool, starting with the impact assessment or HIPAA analysis.

  2. 02

    Automate referral intake and scheduling

Start with the admin steps nearest the clinician and measure referral-to-appointment time, with an exception queue for unclear cases.

  3. 03

Pilot draft reports with clinician sign-off

Choose one report type, track edit rates and time to sign-off, and review every error with the clinicians before widening.

Questions

Frequently asked questions

Can AI write occupational health reports?

It can draft them for clinician review, and the clinician reads, edits and signs every report. In one prospective study, 18% of 356 AI-drafted notes had omissions, so we measure edit rates and errors in your service.

Can the employer see data from our AI tools?

Only what your clinicians decide to disclose. The employer-facing view is built separately from the clinical record, and aggregate reports hide groups too small to protect individuals.

Does HIPAA apply to our employee wellness program?

It depends on how the program is structured. HHS says information in a group health plan wellness program may be PHI, while information collected directly by an employer outside the plan is not automatically protected by HIPAA, although other laws can apply.

Can AI recommend whether someone is fit for work?

AI can organize information for a clinician, but the opinion belongs to the clinician. Decision support that diagnoses or recommends treatment can be regulated as a device.

What do we need before using an ambient scribe in consultations?

In the UK: an impact assessment, a lawful basis and special-category condition, supplier review and clinician review of every output. MHRA's 29 July 2026 clarification separates reviewed drafting from tools meant for diagnosis or treatment.

Is there proof that AI improves occupational health outcomes?

Not independently, that we could find. Practice and privacy guidance is strong, but adoption and outcome evidence for occupational health and wellness vendors is thin, so we measure turnaround, edit rates and missed appointments in your own service.
